Pollsar Email Notification Policy

1. General Provisions

1.1. This Email Notification Policy (hereinafter — the "Policy") describes how POLLSAR LLC (hereinafter — "Pollsar", "we"), registered in the United States of America (State of Florida), uses email to send notifications to users of the Pollsar platform (hereinafter — the "Platform"), available at https://pollsar.com. The Policy applies to all users, including respondents and survey authors (hereinafter — "Authors").

1.2. The Policy is part of the Public Offer, the User Agreement, the Privacy Policy, and other applicable documents. We strive to comply with international standards, including the GDPR (EU) and the CAN-SPAM Act (USA), when sending notifications.

1.3. The purpose of the Policy is to ensure transparency about how and when we send notifications, and to give users the ability to manage their notification settings.

2. Types of Notifications

2.1. Pollsar sends the following categories of email notifications:

Mandatory notifications:

• Notifications about registration, account verification, and password changes.
• Notifications about significant changes to the User Agreement, the Privacy Policy, the Service Agreement, and other documents.
• Security notifications, including suspicious account activity or data breaches.

Functional notifications:

• For respondents: notifications about newly available surveys.
• For Authors: notifications about the completion of surveys and the readiness of analytics.

Subscription renewal notifications (for Authors):

• Reminders about the upcoming automatic renewal of the subscription (in advance of the charge).
• Confirmation of the charge for the renewal.

Informational notifications:

• Newsletters with updates about the operation of the Platform, new features, or events related to Pollsar.

2.2. Mandatory notifications are sent to all users and cannot be disabled, as they are necessary for security and for fulfilling legal obligations. Functional notifications, subscription renewal notifications, and informational notifications (newsletters) can be configured in the "Notification Settings" section of your account.

3. How We Use Your Email Address

3.1. Your email address, provided at registration, is used exclusively for:

• Sending the notifications described in Section 2.
• Ensuring communication with you on matters related to the use of the Platform (e.g., support requests).

3.2. Pollsar does not use your email for advertising mailings or transfer it to third parties, except in the cases provided for by the Privacy Policy (e.g., transfer to service providers to send email on our behalf). Newsletters are not considered advertising mailings, as they are informational in nature and can be unsubscribed from.

4. Managing Notifications

4.1. You can manage functional notifications, subscription renewal notifications, and informational notifications in the "Notification Settings" section of your account on the Platform:

• Enable or disable notifications about new surveys, analytics, and other events.
• Disable subscription renewal reminders (charge notifications will remain active).
• Disable informational notifications (newsletters).

4.2. To fully opt out of functional and informational notifications, you can change your settings or delete your account. Mandatory notifications related to security and legal requirements will be sent in any case.

5. Frequency and Timing of Notifications

5.1. Pollsar strives to minimize the number of email notifications, sending them only when necessary:

• Notifications about new surveys (for respondents) are sent no more than once a day.
• Subscription renewal notifications (for Authors) are sent in advance of the charge and on the day of the charge.
• Newsletters are sent no more than once a week.
• Mandatory notifications are sent immediately when an event occurs (e.g., a password change).

5.2. We take into account your time zone, determined based on your profile data, in order to send notifications at a suitable time of day.

6. Security and Confidentiality

6.1. Pollsar uses secure email delivery methods (e.g., TLS encryption) to ensure the security of your information.

6.2. We do not include confidential data, such as passwords, in notifications. If you receive a suspicious email purporting to be from Pollsar asking you to provide personal data, report it to us at [email protected].

6.3. The processing of your email address is carried out in accordance with the Privacy Policy.

7. Legal Compliance

7.1. Pollsar complies with legal requirements when sending email notifications:

• GDPR (EU): We send notifications only with your consent (except for mandatory notifications) and provide the ability to unsubscribe.
• CAN-SPAM Act (USA): Each notification contains an unsubscribe link and identification of the sender (Pollsar).

8. Changes to the Policy

8.1. Pollsar may update this Policy due to changes in legislation or operational activities. The updated version will be published on the Platform with the effective date indicated.

8.2. We will notify users of significant changes by email or through a notice on the Platform 30 days before they take effect. Continued use of the Platform after the changes take effect means your acceptance of the updated Policy.
